Introduction This chapter describes the procedures used to accomplish the objectives of our project and some data gathering techniques applied The chapter accounts for all programming tools and languages used to carry out this project We also described the Software Development Life Cycle SDLC Model used to complete this project 3 2 Software Development Life Cycle SDLC and Model Used SDLC is a method used by the software industry to design develop and test high quality software The SDLC aims to produce a high quality software that meets or exceeds customer expectations reaches completion within times and cost estimates The SDLC defines approach for improving the quality of software and the overall development process We adapted the Iterative Model among several SDLC models Our system will be developed using this SDLC model We also followed the stages of the SDLC which includes planning defining designing building testing and deployment 3 2 1 Iterative Model Iterative process starts with a simple implementation of a subset of the software requirements and iteratively enhances the evolving versions until the full system is implemented Iterative tends to combine incremental model alongside since iterative delivers systems in incremental build approach In this iterative model the whole system requirement is divided into various builds 



At each iteration design modifications are made and new functional capabilities are added During each iteration the development module goes through the requirements design implementation and testing phases Each subsequent release of the module adds function to the previous release The process continues until the complete system is ready as per the requirement Advantages of the Model The advantage of this model is that there is a working model of the system at a very early stage of development which makes it easier for us to find functional or design errors Also identifying issues at an early stage of development enables us to take corrective measures Some other advantages we considered for choosing this model are Some working functionality can be developed quickly and early in the life cycle Results are obtained early and periodically Progress can be measured Testing and debugging during smaller iteration is easy It supports changing requirements Risks are identified and resolved during iteration and each iteration is an easily managed milestone Disadvantages of the Model The disadvantage with the model is that it is mostly pertinent only to large and huge software development projects This is because it is hard to break a small software system into further small workable modules More resources may be required Management complexity is more End of project may not be known which may be a risk Highly skilled resources are required for risk analysis 



Defining increments may require definition of the complete system More management attention is required 3 3 The life Cycle of Iterative model Source https www tutorialspoint com sdlc sdlc_iterative_model htm Fig 2 Show the SDLC Iterative Model 3 4 Requirement Gathering Requirement gathering is one of the crucial stages in Software Development Life Cycle A well understanding of system requirement leads to delivering of a better functional system Requirement gathering involves collection and understanding of user requirement of the desired system We gathered requirements at the finance directorate offices of the University of Energy and Natural Resources UENR 3 5 Classification of Data Collected Many requirements gathering techniques and data classification exist to gather system specification and requirement Among these we used some of these techniques which are elaborated below 3 5 1 Primary Data Collection Techniques Used Questionnaires We administer questionnaires to the finance directorate offices of UENR to understand how documents are handled and organized We also aimed at getting the users interest and input to the development of the system Our questionnaires were included open ended questions and closed ended questions Interview We also had one on one interview with some members in the various offices of the finance directorate of UENR to get clear understanding of the challenges facing them in handling of paper based documents Some of their responses from the targeted users were very useful inputs for our system s requirements 3 5 2 Secondary Data Collection Techniques Secondary data was collected through the visit of several websites that offers some document management system service and studied how their services are conducted and other existing data collected by other researchers Secondary data refers to data that was collected by someone other than the current researchers 



3 6 System Study of the Projected System The projected system is easy to use and allows users store and retrieve documents easily It contains the user which has different levels of privilege to allow document be on private or public The entire system consists of the client and server section The client section is what application users can see and interact with through the browser on the machines The server section is where the processing logic resides and home for the database for storing information in the database such as the user details and the storage of document in file system The client side is designed using Hypertext Markup Language HTML and Cascading Style Sheet CSS while the application logic is developed using Hypertext Preprocessor PHP with JavaScript The database used is MySQL sitting on XAMMP which is the local server 3 7 The Proposed System Advantages The projected system intends to improve on the existing system by overpowering the limitations inherent in the existing system The advantages of the proposed system are It is very fast hence it promotes instant transactions or processes It can be accessed from any geographical location using any device that supports internet resources hence geographical limitation is completely eliminated Once logged on unto the system online it is easy to operate and maintain document process Documents can easily be duplicated and backed up hence the danger of losing important documents is reduced It has an efficient space management system since documents could be stored on a the server hard drives
